Delete your account
Applies to the TraceIT web application at traceit-tottech.com and the TraceIT mobile application.
You can ask us to delete your TraceIT account and the personal data we hold about you. This page explains how to ask, what gets deleted, what we have to keep and why, and how long it takes. You do not need to be signed in to read it or to make the request.
How to ask
Send an email to support@traceittech.com with the subject “Delete my TraceIT account”, from the email address on the account.
The sending address is how we verify it is you. If a request arrives from any other address we will not act on it — we will reply to the address on the account and ask the account holder to confirm. That is deliberate: a deletion route that anybody can trigger for somebody else is a defect, not a convenience, and we would rather add a step for you than delete someone else’s account on a stranger’s word.
If you no longer have access to that mailbox, write from any address and say so. We will ask for something else that establishes the account is yours before we do anything.
How long it takes
- We acknowledge your request within 5 working days.
- We complete the deletion within 30 days, which is the same period the privacy policy commits to.
Before we delete anything we will tell you what will be deleted and what has to be retained, so nothing about the outcome is a surprise afterwards.
What is deleted
- Your account and your profile.
- Your session records.
- Roster entries that name you, including on-call contact details.
- Crash and diagnostic records attributable to you.
- Stored IP addresses and the country, region and network operator derived from them.
What we keep, and why
Deletion is not unlimited, and the honest version of this page names the limits rather than implying everything disappears.
- Financial and invoicing records. Indian company law requires books of account to be kept for eight years. We cannot delete an invoice on request, and no company subject to that requirement can.
- Audit log entries recording who did what. An audit log that can be erased by the person who acted is not an audit log — and a deletion that erased the record of itself would defeat the very purpose the log exists for. These entries are reduced to the account identifier and the action: your name, email address and contact details come out; the fact that account n changed a setting on a date stays.
- Aggregate counts that contain no identifier. Totals such as “how many alerts fired last month” carry nothing that identifies anybody, so there is nothing personal in them left to delete.
Data that is not ours to delete
TraceIT monitors systems on behalf of the organisations that use it. Where we hold data as a processor for one of those organisations, that organisation is the controller: it decides what is collected and how long it is kept, and we act on its instructions. We cannot delete that data on your request without theirs, and a provider who did so on request would be a provider who could be talked into deleting a customer’s records by anyone.
If you are an employee or customer of an organisation that uses TraceIT, and your request concerns monitoring data, contact that organisation. Their IT or operations team administers the TraceIT workspace. If you do not know who that is, write to us at support@traceittech.com and we will tell you which organisation holds the data and how to reach them — we will not pass your request on for you, because your request is yours to make.
Deleting the app is not the same thing
Uninstalling the TraceIT mobile application removes it from your device. It does not delete your account, and nothing on the device is what we hold. Use the email route above.
